A deliverable defined for the submission
What does a certified Chinese translation include?
A certified Chinese translation is a translation accompanied by an accuracy statement and the relevant signature, agency confirmation or seals for its intended use. The required format depends on the receiving organisation.
- Complete translated contentRelevant text, stamps, annotations and attachments within the agreed scope.
- Consistency and reviewNames, dates, numbers, terminology and document references checked against the source and supporting information.
- Certification elementsThe agreed statement, signature and agency seals for the chosen route.
- Supporting documents and deliveryA business-licence copy when required, plus the agreed digital or paper format.

Prepare the right certification format.
For a China submission, the authority may request an agency stamp, a translation seal and supporting agency documentation. We assess the instructions provided before production.
Send any exact wording, seal requirements or translator-qualification instructions alongside the document. This helps define the deliverable accurately.
Tell us the receiving organisation →Translation certification addresses the translated content. Source-document authentication, notarisation and apostille are separate procedures. Final acceptance is determined by the receiving organisation.
Different steps. A coordinated plan.
Certified, sworn, notarised or apostilled?
These terms describe different procedures. The receiving organisation’s instructions help determine which steps are needed and in what order.
| Procedure | What it does | When to discuss it |
|---|---|---|
| Certified translation | Translation with the accuracy statement, signature or agency certification appropriate to the submission. | For official-document use where the recipient requests that format. |
| Sworn translation | Translation prepared by a translator authorised under the relevant jurisdiction’s system. | Where the receiving authority specifies an authorised or sworn translator. |
| Notarisation | A notarial act relating to the document, signature or other matter within the notary’s competence. | Where the procedure requests notarisation; its exact scope must be established. |
| Apostille | Authentication of the origin of an eligible public document under the applicable Apostille Convention framework. | Where apostille is applicable to the document and destination. Translation needs are assessed separately. |
Official references, with the context kept clear
Certification follows the receiving procedure.
Country names alone do not determine the format. These official examples show why the exact authority and checklist matter.
China · A procedure-specific example
Shanghai’s guide for changes to foreign representative-office registration asks for a Chinese translation stamped by the translation company, an accuracy note and a copy of its business licence. Other submissions have their own instructions.
Shanghai government guidance ↗United Kingdom · Translation certification
GOV.UK guidance describes a written confirmation of translation accuracy, the translation date, and the translator’s name and contact details. Check the requirements of the organisation requesting your document.
GOV.UK certification guidance ↗United States · USCIS submissions
For USCIS submissions, 8 CFR 103.2(b)(3) requires a full English translation and the translator’s certification of completeness, accuracy and competence in the language pair. This is specific to USCIS submissions.
Read 8 CFR 103.2(b)(3) ↗For another destination or a different procedure, share its current requirements. We assess the translation route and any additional support within your project scope.

Business teams and international clients
Coordinate the whole document set.
A mobility, legal or company-registration project may contain documents from different countries and in different languages. A complete brief helps keep names, corporate details and terminology consistent across the set.
HI-COM supports businesses, professionals and individuals remotely. You can begin by sending the document details and requirements, then confirm how files and any originals should be supplied.
For HR or corporate teams, tell us which documents belong to the same application, who approves terminology and whether multiple deadlines or paper sets are involved.

Price and turnaround
A quote based on your actual documents.
What affects the price?
Document length, legibility, language pair, formatting, certification route and urgency affect the work required. Notarisation, apostille, paper copies and shipping should be identified separately where relevant.
Send clear files or describe the documents so we can confirm a specific quote and what it includes.
What affects the delivery date?
The translation and review schedule depends on the document set and certification format. Additional authority or notarial procedures can have their own processing times.
Tell us your submission deadline before production so the proposed schedule can account for the complete workflow.
Before you send the documents
Certified Chinese translation: your questions answered.
What is a certified Chinese translation?
It is a Chinese translation, or a translation from Chinese, accompanied by the statement, signature or agency certification appropriate to its intended use. The required certification format is set by the receiving organisation or procedure.
Do you provide certified Chinese-to-English translation?
Yes. HI-COM supports Chinese-to-English and English-to-Chinese certified document translation, as well as other language pairs. Share where the translation will be submitted so the format can be assessed before production.
Can you translate Chinese birth certificates and civil records?
Yes. We work with birth and marriage certificates, divorce records, family-status documents and other civil records. Include all pages and any attachments, along with the recipient’s instructions and the spelling used in identity documents.
Can you translate diplomas and academic transcripts?
Yes. We translate diplomas, transcripts, academic certificates and application records. Translation is separate from credential evaluation or academic verification. If an apostille is attached, send it too so its translation requirements can be checked.
Can you translate Chinese business licences and corporate documents?
Yes. Business licences, registration records, articles, authorisations, contracts and financial files can form part of the project. Tell us whether the translation is for official submission, a transaction, a bank or internal reference.
Will a Chinese agency seal be accepted in every country?
Acceptance depends on the recipient and procedure. Some submissions request an agency-certified translation; others specify a translator qualification or sworn format. Share the current checklist so the appropriate route can be assessed.
Does TAC membership certify each translation?
TAC institutional membership records HI-COM’s professional association affiliation. The current certificate is valid until 22 September 2028. Each translation’s certification format is determined separately by the project and receiving requirements.
Is TAC the same organisation as ATC?
No. TAC is the Translators Association of China. ATC is the Association of Translation Companies, a different organisation. This page refers to HI-COM’s verified TAC institutional membership renewal.
Do I need a certified translation, sworn translation, notarisation or apostille?
They serve different purposes. Translation conveys the content; certification confirms the translation in the required form; sworn translation uses an authorised translator where applicable; notarisation and apostille address separate document formalities. The receiving instructions determine the steps.
Can I request a quote while I am outside China?
Yes. You can contact HI-COM remotely by the form, email, phone or WeChat. We will confirm the files and information needed, the certification format and the delivery arrangements before the project begins.
Do I need to provide an original or is a scan enough?
Clear scans may be suitable for assessing the translation and quotation. Whether originals, certified copies or paper documents are needed depends on the certification and any related procedures. Confirm this before sending physical documents.
How much does certified Chinese translation cost?
The price depends on document length, language pair, formatting, legibility, certification requirements and urgency. Additional procedures and shipping, where needed, are scoped separately. Request a quotation for your specific documents.
How long does certified translation take?
Timing depends on the document set, review and certification route. Share your deadline for a proposed schedule. Translation timing and any notarial or authority processing times should be considered separately.
What should I send for a certified translation quote?
Document type and number of pages; source and target languages; country and receiving organisation; deadline; and any required statement, stamp or translator qualification. Include all attachments and provide consistent spelling of names and company details.
